AclarisAI is an AI-powered clinical documentation platform operated by Aclaris Health LLC. This Privacy Policy explains what data we collect when you use AclarisAI, how we use that data, and your rights regarding your information.

By using AclarisAI, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the service.

2. Information We Collect

Account information: name, email address, provider type, and specialty, collected when you create an account.
Voice recordings: audio captured during clinical encounters for transcription purposes.
Generated notes: AI-generated clinical documentation produced from your recordings.
Usage data: encounter counts, wRVU data, visit types, and general app usage analytics.
Payment information: payment processing is handled by Stripe. We never store your credit card numbers directly.
Device information: device type, operating system version, and app version.

3. How We Use Your Information

To provide, maintain, and improve the AclarisAI service.
To generate clinical notes from voice recordings using AI (Anthropic Claude API).
To transcribe audio using the OpenAI Whisper API.
To process payments via Stripe.
To provide analytics, including wRVU tracking and encounter summaries.

We do not sell your data to third parties.

We do not use your data to train AI models without your explicit consent.

4. Voice Recordings and Clinical Notes

Voice recordings are transmitted to OpenAI's Whisper API for transcription and are not retained by OpenAI beyond the duration of the API call.
Transcripts and generated notes are processed by Anthropic's Claude API.
Auto-save is OFF by default. Notes are not stored server-side unless you explicitly save them.
You are responsible for ensuring patient consent for AI-assisted documentation in accordance with your institution's policies.
AclarisAI is designed for use in anonymous, de-identified mode by default.

5. HIPAA and Protected Health Information

AclarisAI is designed for individual physician use on personal devices in anonymous mode. The platform strips identifying information before AI processing by default.

For enterprise or institutional use involving Protected Health Information (PHI), a Business Associate Agreement (BAA) is required. To request a BAA, contact privacy@aclarishealth.com.

Individual physicians using the platform in anonymous mode on personal devices bear responsibility for compliance with applicable privacy laws.

6. Data Storage and Security

Account and note data is stored on Supabase (PostgreSQL), hosted on AWS in the US-East region.
Data is encrypted in transit (TLS) and at rest.
We implement industry-standard security practices to protect your information.
We do not share your data with third parties except as described in this policy (Anthropic, OpenAI, Stripe, and Supabase as infrastructure providers).

7. Data Retention and Deletion

You may delete your account and all associated data at any time by contacting privacy@aclarishealth.com.

Saved notes are retained until you delete them or request account deletion. We will fulfill deletion requests within 30 days.

8. Third-Party Services

AclarisAI relies on the following third-party services to operate:

Anthropic (Claude API) — AI-powered note generation.
OpenAI (Whisper API) — voice transcription.
Stripe — payment processing.
Supabase — data storage.
Google / Apple — authentication.

Each provider has their own privacy policy governing how they handle data. We encourage you to review their policies.

9. Children's Privacy

AclarisAI is intended for licensed healthcare professionals and is not directed at individuals under 18 years of age. We do not knowingly collect personal information from anyone under 18.

10. Changes to This Policy

We may update this Privacy Policy periodically. Continued use of AclarisAI after changes are posted constitutes acceptance of the updated policy. Material changes will be communicated via email to the address associated with your account.
