AclarisAI is an AI-powered clinical documentation platform operated by Aclaris Health LLC (“we,” “us,” or “our”). This Privacy Policy describes what information we collect, how we use it, and your rights regarding that information.

By using AclarisAI, you agree to the practices described in this policy. If you do not agree, please do not use the service.

2. Who This Service Is For

AclarisAI is designed exclusively for licensed healthcare professionals. The platform is intended for use by clinicians during patient encounters to assist with clinical documentation — it is not a patient-facing application and is not intended for use by patients directly. AclarisAI is not directed at individuals under 18 years of age.

3. Information We Collect

Account information: name, email address, provider type, and specialty, collected at registration.
Encounter data: voice audio captured during clinical encounters for the purpose of generating clinical documentation.
Generated notes: AI-assisted clinical documentation produced from encounter audio.
Usage and analytics data: encounter counts, wRVU data, visit types, and general app usage.
Payment information: billing and payment data processed by our payment processor; we do not store payment card numbers.
Device information: device type, operating system version, and app version.

4. De-Identification and Data Processing

All encounter audio and transcript data is processed through Aclaris Health LLC’s secure, encrypted servers. Prior to AI-assisted note generation, encounter content undergoes de-identification processing consistent with HIPAA standards — patient identifying information is removed before any AI processing occurs.

Generated notes are not stored server-side unless you explicitly choose to save them.

5. How We Use Your Information

To provide, operate, and improve the AclarisAI platform.
To generate de-identified clinical documentation from encounter audio.
To process payments.
To provide analytics including wRVU tracking and encounter summaries.
To respond to support requests.

We do not sell your data.

We do not use your data to train AI models.

6. HIPAA

AclarisAI is built with HIPAA-compliant data handling practices. Encounter data is de-identified prior to AI processing. Data is encrypted in transit and at rest.

7. Data Storage and Security

All account and note data is stored on encrypted, HIPAA-compliant infrastructure hosted in the United States. We implement industry-standard security practices including encryption in transit (TLS) and encryption at rest.

8. Third-Party Services

AclarisAI uses third-party services strictly as infrastructure providers to operate the platform. These include payment processing, authentication, and data storage services. Each provider operates under their own privacy policy and data handling standards equivalent to or exceeding our own.

We do not share your data with third parties for marketing, advertising, or any purpose beyond platform operation.

9. Data Retention and Deletion

You may delete your account and all associated data at any time directly within the app via the Profile section. All data associated with your account will be permanently deleted upon request. For additional questions regarding data deletion, contact us at support@aclarishealth.com.

10. Changes to This Policy

We may update this Privacy Policy periodically. Material changes will be communicated via email. Continued use of AclarisAI after changes are posted constitutes acceptance of the updated policy.
